Procurement Administrator

Location: Toronto (Downtown)




  • Continuous review of project costs compared to original budget and purchase orders
  • Ensuring proper support is provided for invoice payment and following up with vendor/department manager if additional information is required
  • Provide quarterly updates on project status for accruals and cash forecasting
  • Work with team to code invoices for department accurately and in a timely manner
  • Ensure invoices are approved for payment in a timely manner
  • For any direct billed invoices or property chargebacks – determine allocation methodology and issue invoices to recover amounts due
  • Regularly review ledger to ensure costs are coded accurately
  • Prepare journal entries to reflect, quarterly allocation of costs between regions
  • Assists the Manager with procurement of software, hardware and wireless/wireline devices
  • Assist with procurement PO, invoicing and coding
  • Assist with vendor setup’s
  • Assist with the coordination of department events/training, booking of travel requirements for VP and Director
  • Send meeting invites, prepare agendas, keep meeting minutes and follow-up items for distribution to attendees



  • Ability to stay organized, multi-task, proactively prioritize and manage workload
  • Excellent written and verbal communication skills
  • Experience in a service-oriented industry
  • Computer skills essential, MS Office Suite and accounting systems
